5 QuickBooks Reports Every Business Owner Should Review This Summer

Summer can be a strange season for business owners. Sales may fluctuate. Expenses can sneak up with travel, events, or seasonal staffing. And with everything moving fast, it is easy to stay focused on day-to-day operations while financial clarity takes a back seat.

But this is exactly when your numbers matter most. If you are using QuickBooks, you already have powerful insight at your fingertips. The key is knowing which reports to actually look at—and what they are telling you.

Here are five QuickBooks reports that can help you stay in control and make smarter decisions this summer.

1. Profit and Loss Statement (P&L)

Your Profit and Loss statement shows whether your business is actually making money over a specific period.

It breaks down your income, expenses, and net profit (what is left after expenses). In simple terms, it tells you if your business is financially healthy or quietly leaking cash.

Review this monthly—or even biweekly in the summer when activity shifts quickly. Look for rising expenses or declining revenue trends before they become bigger problems.

2. Cash Flow Report

Cash flow tracks how money moves in and out of your business.

Even profitable businesses can struggle if cash is not coming in at the right time. This report helps you see whether you have enough money available to cover bills, payroll, and upcoming expenses.

If profit is “what you earn,” cash flow is “what you can actually use.” Both matter—but cash flow keeps your business running day to day.

3. Accounts Receivable Aging Report

This report shows who owes you money and how long those invoices have been unpaid.

It groups outstanding invoices by time frames like 0–30 days, 31–60 days, and so on. The longer an invoice goes unpaid, the harder it becomes to collect.

If summer slows down collections, this report helps you stay proactive. You may need to follow up sooner or tighten your payment terms.

4. Expenses by Vendor Summary

This report shows where your money is going and which vendors you are spending the most with.

It helps you spot patterns. Maybe certain costs have increased. Maybe you are paying for services you no longer use. Or maybe one category is quietly growing faster than expected.

Small leaks in expenses can add up quickly. This report helps you catch them early.

5. Balance Sheet

Your Balance Sheet gives a snapshot of your business at a specific moment in time.

It shows what you own (assets), what you owe (liabilities), and what is left over (equity). In simple terms, it shows your overall financial position.

While it is often overlooked, this report is essential for understanding long-term stability—not just monthly performance.

Turn Your Reports Into Real Financial Clarity

Reports are only valuable if you use them to make decisions. If they feel confusing or overwhelming, you are not alone. Many business owners struggle to turn data into action.
