What I Fix First When a Client Says Their QuickBooks Is “Set Up”

​When a client tells me, “My QuickBooks is already set up,” I don’t assume anything is wrong—but I also don’t assume everything is right.

In fact, this is one of the most common starting points for my QuickBooks Online Support Services.

Because “set up” can mean very different things.

What “Set Up” Usually Looks Like  

Most clients have done what QuickBooks encourages:

  • Connected their bank and credit card accounts
  • Started categorizing transactions
  • Run a Profit & Loss report at least once

And honestly? That’s a great start.

But when we look closer, there’s almost always one thing that needs attention first.

The First Thing I Fix: The Foundation  

Before touching reports or cleanup, I always start with the chart of accounts and account connections.

Why? Because everything flows from there.

I often find:

  • Duplicate or unnecessary accounts
  • Personal and business expenses mixed together
  • Income or expense categories that don’t match the business activity
  • Accounts connected but never properly reviewed or reconciled

If the foundation isn’t solid, the numbers won’t tell the right story—no matter how much effort the client puts in.

A Client Story I See All the Time  

One client came to me feeling frustrated and embarrassed. They told me:

“I’ve been using QuickBooks for over a year. I thought I was doing everything right, but my accountant keeps asking questions I can’t answer.”

During our first support session, we discovered their accounts were technically connected—but nothing had ever been reconciled. Income was overstated, expenses were miscategorized, and their reports didn’t reflect reality.

We didn’t overhaul everything. Instead, we:

  • Cleaned up the account structure
  • Corrected key categories
  • Reviewed reports together so they understood what they were seeing

Afterward, they told me:
“This is the first time I actually understand my numbers. I feel confident sending my reports to my accountant now.”

That confidence alone made the session worth it for them.

Why This Step Matters So Much  

Fixing the foundation early prevents:

  • Costly cleanup later
  • Tax-time stress
  • Confusion around profitability and cash flow

It also saves time—because you stop guessing and start trusting your numbers.

And most importantly, it reminds business owners that they’re not behind or doing something wrong. They just needed guidance.

You Don’t Need More Tutorials—You Need Clarity  

QuickBooks doesn’t fail people—people are just expected to figure it out on their own.
